Privacy notice

Tottenham PIWC · Gladys Aylward School, 1 Windmill Rd, London N18 1NB · Last updated September 2026

This notice explains what we do with your information when you check in to a service using this app. Tottenham PIWC, part of The Church of Pentecost UK is the data controller for this information under the UK GDPR and the Data Protection Act 2018.

Our registered controller details and data protection registration are currently being confirmed with the national church office. This page will be updated as soon as that is complete. Nothing about how we handle your information changes in the meantime.

What we collect

  • Your name.
  • Your phone number and email address, if you choose to give them.
  • The Sunday services you check in to (date and attendance).
  • Your cell group, and whether you serve as a cell leader.
  • Optional pastoral notes, interests and hobbies, and a photo, recorded by your cell leader to help them care for you.

Why we use it

  • To record attendance at Sunday service.
  • To help cell leaders keep in touch and follow up if you've been away.
  • To plan church activities and understand how many people attend.

Our lawful basis is legitimate interests: running the church and caring pastorally for those who attend. Where you give us a phone number, email address or photo, you do so voluntarily and can ask us to remove it at any time.

Who can see it

  • Your own cell leader can see your record and your group's attendance.
  • Church administrators can see all groups.
  • Other members cannot see your phone number, email, photo, notes or attendance history. The check-in screen only ever shows names.
  • We do not sell your information and we do not share it with third parties for marketing.

Where it's stored and for how long

Records are stored securely in an access-controlled database hosted in the UK/EU region, protected by encryption in transit and per-group access rules. We keep attendance records for 3 years, after which they are deleted or anonymised. Contact details, photos and notes are deleted when you ask us to, or when you are no longer part of the church.

Children

Children's details are only recorded with the knowledge of a parent or guardian. If you would prefer your child not to be included, please tell a leader.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to have it provided in a portable format. To exercise any of these, speak to a leader or email us.

If you're unhappy with how we've handled your information you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
